Business calling / Office & field

A business phone.
With the job in view.

Give callers a clear route to your office or their assigned technician. IKOK connects configured business numbers, customer records and call activity, so the team returning a call has somewhere useful to start.

01 / Welcome & route

Let the caller choose the right next step.

An existing customer may be calling about work already on your schedule. A configured keypad menu can offer a route to the technician assigned to their current job, alongside a route to your office phone. The customer does not need to explain the whole request before choosing where to go.

Set business hours and a spoken greeting for the line. During open hours, the menu presents your configured choices. Outside those hours, an after-hours greeting can invite the caller to leave a voicemail. Give customers a clear way to reach the right person during the day and leave a message when your office is closed.

02 / Return the call

Start with the customer record.

Start an outbound call in IKOK from the customer workflow. Your phone rings first; after you answer, the call connects to the customer using your business caller ID. Staff can work from their phones while keeping the business number at the center of customer communication.

Organize business numbers by purpose, such as a main line, service or sales, and configure routing for each line. Before setup, identify which numbers your team needs and which office or technician destinations should receive those calls.

03 / Follow through

Keep the next conversation informed.

Review inbound and outbound call activity, duration and outcomes alongside available customer and job context. A call log gives your office a record to return to when deciding who should follow up or checking whether a conversation already took place.

For known customers, configured missed-call text-backs can provide another way to respond. This uses an activated business SMS sender and the customer’s messaging consent. Your team can then continue the text conversation through the shared inbox.

Make it work for your business

Start with your workflow.
Shape the setup around it.

Bring a real call pattern to your walkthrough: a customer with an active job, a general office inquiry and an after-hours call.

  1. Choose your business numbers and their purpose.

  2. Set hours, greetings and the office destination.

  3. Confirm technician routing and your plan’s keypad-menu capability.

Phone service and routing require setup. Available routes, plan inclusions and usage charges depend on your configuration; SMS has separate activation requirements.

The practical details

Good questions.
Clear answers.

Bring the details of your team, your customers and your current process to the conversation.

Can a customer call their assigned technician?

A configured technician route matches an existing customer by phone number and uses the technician assigned to their current eligible job. The call follows the destination associated with that assignment.

What happens outside business hours?

Your after-hours route can play a greeting and take a voicemail. Business hours and greetings are configured per line, so callers hear the message appropriate to that part of your business.

Does every unanswered call go to voicemail?

After-hours voicemail is configured per line. We’ll review busy and unanswered-call handling during setup, so your team knows what happens on each route.

Can we use different numbers for service and sales?

Business numbers can be organized by purpose with their own configuration. Discuss available numbers, destinations and service costs before deciding how many lines your team needs.

Can IKOK text someone after a missed call?

Configured text-backs support known customers when business SMS is activated and the customer’s messaging consent permits sending. A missed call by itself does not replace those requirements.
