Directions describe supported workflows. Your active connection, sync settings and eligible record relationships determine what moves.

01 / Know what moves

Start with a clear map of your records.

Customers and recorded payments support movement between IKOK and QuickBooks Online, according to the enabled sync settings. Invoices and supported items or services move from IKOK to QuickBooks Online. The integration described here is for QuickBooks Online; confirm that this is the accounting product your business uses.

Agree who maintains each record before connecting a broad workflow. Create the service invoice in IKOK, where it stays with the customer and job; review its linked accounting record in QuickBooks Online. For customer updates, decide which team makes the change and checks the matching record. Your bookkeeper remains responsible for accounting review and bank reconciliation.

02 / Follow the transaction

Connect the invoice and its recorded payments.

Create and review the service invoice in IKOK, then send the eligible record through the configured integration. Record each installment separately with its own amount, date, method and reference. The accounting entry needs the right customer, and each payment needs the correct invoice relationship.

Sending or importing a payment record does not charge the customer or prove that funds settled in the bank. Review the payment application and remaining invoice balance in the relevant records. A completed service visit, a collected payment and a synchronized accounting record are separate checkpoints.

03 / Review the outcome

Give the office a place to check the result.

A sync that has started is not a confirmed result. Check the connected QuickBooks Online company, selected settings, sync history and the affected record. If a record is waiting, failed or has an uncertain outcome, give the review an owner before creating another invoice or payment.

For supported completed invoice payments, verification can compare the current QuickBooks payment and linked invoice with the IKOK records. Amount, date, reference, customer and invoice application matter. Deposits, refunds, tips and fees may need their separate accounting review; do not assume every payment uses the same verification path.

04 / Try a real office question

Two payments.
One invoice to reconcile.

A homeowner pays an HVAC repair invoice in installments. Your office needs to see each payment, where it was applied and what remains.

Fictional USD example · not a live account or product screenshot

01

Invoice reviewed

$1,200

The total already includes the charges on this fictional invoice.

Expected balance
$1,200

02

First installment applied

$300

Keep its own payment date, method and reference.

Expected balance
$900

03

Second installment applied

$450

Save a separate payment record linked to the same invoice.

Expected balance
$450

These balances assume each payment is correctly applied, with no later adjustments. Record the $300 and $450 installments separately. A combined $750 record would lose the individual transaction history.

Check the result

A saved payment and a confirmed sync are different checkpoints.

If the second payment is waiting to sync, use its current record and history to understand the outcome. Confirm the connected company, customer, invoice, amount, date and reference before retrying. Check the invoice application and balance rather than relying on a status badge alone.

Recording or syncing a payment does not create a new customer charge and does not establish bank settlement. Keep those checks with the appropriate payment and accounting records.

Make it work for your business

Start with your workflow.
Shape the setup around it.

Start with the QuickBooks Online company you intend to connect and the records your office needs to maintain in each system.

  1. Confirm the QuickBooks Online company and authorize the connection with appropriate access.

  2. Agree who maintains each record; review sync directions and selected settings.

  3. Walk through a sample invoice, two installments and an exception with your office or bookkeeper.

An active connection and appropriate permissions are required. Confirm module availability and setup scope with our team. Sync supports record exchange; accounting review and reconciliation remain part of your business process.

The practical details

Good questions.
Clear answers.

Bring the details of your team, your customers and your current process to the conversation.

Is IKOK HVAC software compatible with QuickBooks Online?

Yes. IKOK connects supported customer, service-invoice, recorded-payment and item/service workflows with QuickBooks Online. Review the directions, eligibility and settings for your office before enabling them. This page describes QuickBooks Online, not QuickBooks Desktop.

Are invoices synchronized in both directions?

Invoices sync from IKOK to QuickBooks Online. Create the service invoice in IKOK to keep its customer and job context connected to the accounting workflow.

Can QuickBooks payment records appear in IKOK?

Yes, QuickBooks payment records can be brought into IKOK. Record relationships and sync settings determine how the payment is associated with the relevant customer and invoice.

Does payment sync charge the customer again?

Sync exchanges a recorded payment with the accounting workflow. It is not a new customer charge. Customer payment collection is a separate action with its own authorization and payment setup.

What should we check when a sync is pending or needs attention?

Review the connected company, settings, sync history and the linked customer, invoice and payment. Confirm the outcome before retrying or creating another record. Verification is available for supported completed invoice payments; other accounting cases may need a separate reconciliation workflow.

How do we evaluate partial payments before connecting our workflow?

Bring a sample invoice and two separately recorded installments to a demo. Review each amount, date, method, reference, customer, invoice application and expected remaining balance. Use fictional or redacted records for the walkthrough; a new customer charge is not needed.
