Begin with the agreement already in force
For a small AC service team, a renewal list is useful only when it reflects what each customer actually accepted. Read the current term dates, covered equipment, included visits, billing schedule and recorded changes before preparing the next offer. Your review date is an office planning choice; it is not a statement that every agreement has the same notice or renewal rules.
Imagine a fictional Florida AC company reviewing Elena's agreement before its recorded end date. The original plan covers two units. One scheduled visit was moved, and Elena recently asked whether an additional system could be included. Sending last year's description unchanged would miss both issues.
Review delivered service before asking for another term
Separate the existing obligation from the proposed renewal. The moved visit still needs an owner under the current agreement. Do not make completion of something already owed depend on buying another term. If the records are unclear, inspect the appointment, saved work and customer communication together.
Use one row per exception, rather than a single “renewal ready” status that hides the detail:
| Review item | Evidence to inspect | Next action |
|---|---|---|
| Included visits | Accepted scope and completed visit records | Assign any unresolved service obligation |
| Equipment | Current covered units and changes | Confirm what the next term should cover |
| Customer questions | Recent messages and report recommendations | Give each question a response owner |
| Billing | Agreed schedule and relevant payment records | Route discrepancies to the office reviewer |
| Next term | Proposed dates, scope and price | Explain changes before seeking a decision |
Elena's dispatcher can arrange the outstanding visit while the owner prepares a separate proposal for the next term. The two tasks can move forward together without rewriting the current agreement.
Make changes visible in the renewal offer
Tell the customer what would stay the same and what would change. Identify the equipment, term, included service, exclusions and current total. If an additional unit changes the offer, explain the actual covered-unit list and reviewed price instead of assuming a remembered per-unit rate still applies.
Keep payment frequency separate from service frequency. A changed appointment date does not itself authorize a different charge, and the next term should not silently inherit a payment setup that no longer fits. Review renewal and recurring-payment handling against the agreement and configuration your company uses. This is an operating review, not a substitute for approved contract terms.
Use a short, specific customer conversation
For Elena, the introduction could be: “We are reviewing the next term for your maintenance plan. We also have the rescheduled visit and your question about another system recorded. Here are the proposed coverage and dates; we can go through the changes with you before you decide.”
Send that message through an appropriate channel only after confirming the underlying details. Avoid urgency based on an invented deadline. If the customer needs time, record a requested follow-up date. If the customer disputes the existing service, move that question to the person who can resolve it rather than sending another generic renewal reminder.
Give each outcome its own next action
Acceptance, a request for changes, a pause and a decline are different outcomes. For an accepted next term, verify the terms and identify the future visits and billing actions separately. For changes, replace the draft with the reviewed version and make clear which proposal is current.
For a pause, record when a further conversation is appropriate. For a decline, confirm the remaining current-term obligations and stop treating the customer as a pending sale. If the arrangement later lapses, the restart workflow begins with current facts rather than pretending coverage continued uninterrupted.
Make the review repeatable in IKOK
Use IKOK's customer, equipment, agreement and visit context to walk through one renewal. Ask to inspect accepted terms, check saved maintenance work, prepare a changed proposal and show the service schedule after acceptance. Saved execution can supply a report draft; review its wording and customer visibility before sharing it.
The goal for a small team is a short exceptions list with named owners. Keep the full agreement-to-visit workflow as the reference, and use this review to decide what needs attention before the next promise is made.
